What data we process and why

• Browsing. The website is served from Cloudflare, which processes technical data (IP address, browser) to deliver the pages and protect them from attacks. To know how many visits the website receives and how fast it loads we use Cloudflare Web Analytics, which uses no cookies or user identifiers. We do not use analytics or advertising cookies.
• Your account. Saving projects to the cloud and the Pro and Master plans need an Instal Studio account (the same one for Vortia 3D, Circuita and the other apps in the suite). We store your email, name, company, region and type of business (whatever you give us), your encrypted password (if you choose one), your open sessions (a technical session cookie and the browser type, while the session is open) and your subscriptions. To protect the account, the IP address of sign-in attempts and emailed codes is kept for 24 hours at most. To prevent abuse we may ask for a Cloudflare Turnstile check. A signed licence with your email and plans is saved in your browser.
• Your projects. They are saved in your browser’s local storage. If you have an account and leave “Keep my projects in the cloud” on, they are also stored on our server (Cloudflare) so you have them on all your devices and, with Master, your company can see them. The background plan (PDF or image) is not uploaded. You can turn this off or delete your projects at any time.
• AI design report (Pro and Master plans). Only if you press “Draft with AI”, your browser sends our server the calculation results of the project (figures, names of components, terminals and rooms, and the project name) together with your account licence, and our server sends them to Anthropic, PBC (Claude AI model) to draft the text. The client, author, company, logo and background plan are not sent. We do not store that data or the drafted text (the text is only held for a few minutes so that a repeated request is not charged twice): only a counter of design reports per licence and month and a technical fingerprint of the calculation (a code that does not allow the project to be reconstructed) so that we do not charge you twice for the same report. Anthropic acts as a data processor, does not use this data to train its models and deletes it from its systems within 30 days, unless it must keep it for legal or security reasons. Please do not write personal data in the names of the project, components or rooms.
• AI building assistant (Pro and Master plans). Only if you press “Read the description” with an active licence, your browser sends our server the text you have written about the building together with your account licence, and our server sends it to Anthropic, PBC to turn it into a list of zones (name, use, floor area and occupancy). We keep that list linked to your licence for 30 days so as not to charge you again for the same description; we do not keep the text. Anthropic acts as a data processor under the same conditions as for the design report. Without a licence or outside vortia3d.com, the description is read in your browser and does not leave it.
• Purchase of the Pro plan. Payment is handled by Lemon Squeezy as reseller (merchant of record), which is responsible for the payment data. We receive your name, email, country and subscription status to link it to your account, manage it and give you support.
• Pro and Master downloads. The technical report, the quotation, the workshop cutting list, the CSV files and the BC3 are generated on our server (Cloudflare) in order to check the licence. When you click a download, your browser sends the project, your account licence, the 3D image and the header data you typed in “Report details” (company, author, client, site, reference, notes and, with Master, the logo), plus the price list and export preferences stored in your browser. The server generates the file, returns it and does not keep it or that data: it only counts the downloads of each licence per day. PDFs carry the licence email (or the company name with Master) in their metadata and footer so that a leaked copy can be identified. The free trial report (one per browser) is controlled with an anonymous browser identifier and a keyed hash of the IP address, which does not identify you and is deleted after 2 days.
• Contact. If you write to us, we use your email and your message to reply to you.
• Waiting list. If you leave us your email so that we can tell you when subscriptions open, we use it only for that notice and delete it afterwards or when you ask us to.
• Use of the app. We anonymously count how many times the app is opened and some features are used (opening the Pro plan, attempting a download). No cookies, no identifiers and no personal data.

Legal basis

Performance of the contract (Pro plan and support), your consent (waiting list), our legitimate interest in keeping the service secure and improving it (anonymous usage count) and compliance with legal obligations (tax and accounting), and performance of the contract also for the AI design report, which is only used if you request it.

Local storage

The application uses the browser’s local storage to save your projects, preferences and licence. It is strictly necessary for the service you request and does not require consent (art. 22.2 LSSI). You can delete it from your browser settings.

Retention

Subscription data is kept while the subscription is active and then for the legal periods (generally 6 years for commercial and tax obligations).

The AI design report counters are deleted automatically after 13 months. The data sent to draft it is not kept on our server.

Recipients and transfers

Lemon Squeezy (payments), Cloudflare (hosting and security) and, only if you use the AI features (design report and building assistant), Anthropic may process data outside the European Economic Area, with the safeguards of the EU-US Data Privacy Framework or standard contractual clauses. We do not share data with third parties for other purposes.

Your rights

You can exercise your rights of access, rectification, erasure, objection, restriction and portability by writing to [email protected]. If you believe we have not handled your request properly, you can complain to the Spanish Data Protection Agency (www.aepd.es) or to the supervisory authority of your country.
